Job Description:
As a General Virtual Assistant, you will be responsible for providing administrative and clerical support to our team, assisting with day-to-day tasks, and contributing to the smooth operation of our organization. You will work closely with team members to manage schedules, handle correspondence, and coordinate various projects and initiatives.
Responsibilities:
Administrative Support:
- Manage calendars, schedule appointments, and coordinate meetings for team members.
- Handle incoming calls, emails, and inquiries, responding promptly and professionally.
- Organize and maintain electronic and physical files, documents, and records.
- Prepare reports, presentations, and other business documents as needed.
Communication and Correspondence:
- Draft and edit correspondence, emails, and other written materials on behalf of team members.
- Coordinate communication between internal teams, external partners, and clients.
- Follow up on action items, deadlines, and requests to ensure timely resolution.
Project Coordination:
- Assist with project management tasks such as scheduling, task tracking, and progress reporting.
- Coordinate logistics for meetings, events, and travel arrangements as required.
Miscellaneous Tasks:
- Perform various ad hoc tasks and assignments to support the needs of the team and organization.
- Conduct research, gather information, and prepare summaries or reports as requested.
- Continuously seek opportunities to streamline processes and improve efficiency.
- others:
*Liaising with our certified clients to plan Travel and inspection visits
* reviewing purchase ledger
*Assessing profitability (Budget vs actual),
* The candidate must be an excellent communicator and must be able to liaise with internal and external stakeholders.
* occasional secretarial suport to Director of Certification
* Reports to Office Manager.
Program Name - Salesforce, Xero, Microsoft Office
Requirements:
- Proven experience in travel booking, Customer success / support, Bookkeeping or similar role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and Google Workspace.
- Ability to work independently and prioritize tasks effectively.
- High attention to detail and accuracy.
- Discretion and confidentiality in handling sensitive information.
- Reliable internet connection and home office setup conducive to remote work.
