Job Title: Property Virtual Assistant

Job Summary:

The Property Maintenance Virtual Assistant is responsible for providing remote support to property managers and maintenance teams by handling tenant inquiries, logging maintenance requests, coordinating repair schedules, and ensuring effective communication between all parties. This role requires excellent customer service skills, organizational abilities, and proficiency in using digital tools and platforms.

Work Schedule: 9:00 am - 5:00 pm EST

Key Responsibilities:

  1. Tenant Communication:

    • Handle incoming calls, emails, and messages from tenants regarding maintenance issues, complaints, and repair requests.
    • Provide professional and timely responses, ensuring tenants feel supported and their concerns are addressed.
    • Offer initial troubleshooting assistance for common maintenance issues.
  2. Logging and Tracking Requests:

    • Accurately log maintenance requests and complaints in the property management software.
    • Gather detailed information about the issue, including tenant details, problem description, and urgency level.
    • Monitor the status of maintenance requests and provide updates to tenants as necessary.
  3. Coordination and Scheduling:

    • Coordinate with property managers and maintenance personnel to schedule and prioritize repair tasks based on urgency and availability.
    • Communicate effectively with the maintenance team regarding the nature and urgency of requests.
    • Ensure timely follow-up with tenants to confirm completion of maintenance tasks and ensure satisfaction.
  4. Documentation and Reporting:

    • Maintain accurate records of all maintenance calls, requests, and resolutions.
    • Prepare regular reports on call volume, common issues, and resolution times.
    • Assist in identifying trends and recurring issues to improve maintenance processes.
  5. Administrative Support:

    • Assist with administrative tasks related to property maintenance, such as processing invoices on Quickbooks Desktop, managing vendor contracts, and maintaining maintenance schedules.
    • Use property management software to manage maintenance workflows and documentation.
  6. Continuous Improvement:

    • Provide feedback to property managers and the maintenance team on common issues and potential areas for improvement.
    • Participate in training and development activities to stay updated on best practices and procedures.

Qualifications:

  • Experience:

    • Previous experience in property maintenance or coordination.
  • Skills:

    • Experience and proficiency with Quickbooks Desktop and Microsoft Excel is a MUST.
    • Excellent communication and interpersonal skills.
    • Strong problem-solving abilities and attention to detail.
    • Proficiency in using property management software, CRM systems, and other digital tools.
    • Ability to remain calm and professional in stressful situations.
    • Strong organizational and multitasking abilities.
    • Basic understanding of building systems and maintenance terminology.
