Job Title: Office Assistant

We are urgently hiring a highly organized and proactive individual to join our team as an Executive Assistant. The ideal candidate will provide comprehensive administrative support to our executive team, ensuring smooth daily operations and effective communication within the organization. The Executive Assistant will handle a variety of tasks ranging from managing schedules and coordinating meetings to handling correspondence and assisting with special projects.

Work Schedule: 9 am to 5 pm EST

Responsibilities:

  1. Answering client calls, client Relations, and task Management
  2. Office Assistant tasks include invoicing, quoting, keeping sheets up to date, payroll prep, insurance quotes, etc.
  3. Manage executive calendars, including scheduling appointments, meetings, and travel arrangements.
  4. Screen and prioritize incoming calls, emails, and correspondence, redirecting them as appropriate.
  5. Prepare and edit documents, presentations, and reports for executive meetings and presentations.
  6. Act as a liaison between executives, employees, clients, and external stakeholders, maintaining professional communication and relationships.
  7. Handle confidential information with discretion and ensure data security protocols are followed.
  8. Anticipate the needs of executives and proactively address issues to streamline workflows.
  9. Assist with personal tasks and errands for executives as required.
  10. Collaborate with other administrative staff to ensure office operations run smoothly.

Requirements:

  1. Proven experience as an executive assistant or similar role, preferably supporting a US-Based client.
  2. Task management experience - including using a task management software
  3. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  4. Payroll + invoicing and quoting experience a plus
  5. Strong written and verbal communication skills, with attention to detail.
  6. Proficiency in Quickbooks Online and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  7. Ability to work independently and collaboratively in a fast-paced environment.
  8. Flexibility to adapt to changing priorities and multitask effectively.
  9. Tech savvy (to learn new software quick)
  10. Team player (someone who can jump in and help where is needed)
  11. Perfect English speaker- can have a slight accent but needs to be clearly understood for calls and emails.
